Maintenance Plan

A maintenance plan is for properties that are not tenant occupied but may require maintenance while vacant. Services could include initial inspection, appliance checks, plumbing checks, filter changes, grass cutting, snow removal, monthly house walk-through, and other needs determined by Owner and PM.

Commercial Baseline Pricing

Our baseline price for commercial properties is derived from the total sq. footage of the property in its entirety (including the grounds).

Owners agree to compensate the management company the following:

  • 6% for properties less than 4000 sq. ft.

  • 8% for properties more than 4000 sq. ft. but less than 7000 sq. ft.

  • 10% for properties more than 7000 sq. ft, but less than 10000 sq. ft.

  • 12% for properties more than 10000 but less than 15000 sq. feet.

Scott Free PM provides a 24-hour online account to all property owners and tenants at https://billdium.com/

This account allows property owners to see the status of their accounts in real time; statements, work orders, rent payments, etc. Log-in information for your account is sent to you directly after a contract agreement is signed with SFPM.

How the Transition Works

Prospective clients often express concern about the difficulty of changing management firms. It really is not as difficult as you may think. If you are interviewing management firms, we suggest you ask them how they handle their transitions.

For reference, here is how we handle ours:

  • Your prospective management company should help you determine if the contract can be terminated, if you have not already confirmed this.

  • A termination letter needs to be signed by You and sent to the current management firm. Your new company should help you draft this letter for signing. Common courtesy suggests that you give your current firm at least 30-60 days’ notice of termination, unless there are extenuating circumstances which call for immediate dismissal.

  • Your new management company should send a follow-up letter to the existing firm, effectively confirming the termination, advising them of the requested documents, and providing deadlines for the files. We can provide a sample of the letter we use, upon request.
